Refund Policy

Refund Policy for Chill Out Hvac

Effective Date: April 7, 2026

At Chill Out Hvac we stand behind our work. This Refund Policy explains how we handle refunds, cancellations, and adjustments for our services and products.

1. Service Call & Diagnostic Fees

The initial service call/diagnostic fee of $75] is non-refundable once a technician has been dispatched to your property. This fee covers travel time, fuel, and the technician’s time to diagnose the issue.

2. Completed Repairs & Labor

All completed repair work and labor are non-refundable once the service has been performed and you have approved the work.
We offer a 90-day warranty on our workmanship. If the same issue reoccurs within 90 days due to faulty workmanship, we will return to correct it at no additional labor charge.

3. Parts & Equipment

Special-order parts and equipment (including furnaces, A/C units, thermostats, etc.) are non-refundable once ordered from the manufacturer or distributor.
Stock parts that are new, unused, and in original packaging may be returned for a refund within 14 days of installation, subject to a 25% restocking fee. Labor charges to remove the part are not refundable.
Manufacturer warranties apply to all equipment. We will assist you with warranty claims but refunds are subject to manufacturer approval.

4. Installations & Replacements

Deposits for new system installations are non-refundable within 72 hours of the scheduled installation date, as we allocate equipment and labor resources.
If you cancel before the 72-hour window, deposits may be refunded minus any incurred costs for special-order equipment.

5. Maintenance Plans / Service Agreements

Annual maintenance plans may be cancelled within 3 business days of purchase for a full refund if no services have been performed.
After services are performed or after 3 business days, maintenance plans are non-refundable. Unused visits are not transferable or refundable. Any applied discounts received through the Chill Member maintenance agreement will be deducted from any applicable refund.

6. Unsatisfactory Service

If you are not satisfied with our service, please contact us  within 5 business days at 214-725-5155or Chillouthvacllc@gmail.com We will work with you to resolve the issue. This may include re-performing the service, providing a partial credit, or other reasonable resolution. Refunds are issued at our discretion.

7. How Refunds Are Issued

Approved refunds will be issued to the original payment method within 7-10 business days. Credit card refunds may take 1-2 billing cycles to appear on your statement.

8. Exclusions

No refunds will be issued for:
• Issues caused by customer negligence, misuse, or failure to follow maintenance recommendations
• Problems arising from pre-existing conditions not addressed in the service agreement
• Utility company charges or third-party fees
• Acts of nature, power surges, or other events outside our control
